CityLife Knox is currently seeking a Young Adults Events Coordinator to support our Young Adults Pastor. This position requires a strong communicator and organised team member who will undertake a range of administrative duties to assist and support the Young Adults ministry.
The Young Adults Events Coordinator will oversee planning and coordinating YA events, including monthly ‘Worship and Word’ services and termly ‘Workshops,’ leader’s meetings, the annual YA Camp and other special events that take place throughout the year. To also provide administration support for the Young Adult Pastor at Knox for the facilitation of YA ministry.
This is a part-time position 0.2 FTE. (1 day per week)
Key responsibilities include but are not limited to:
- Coordination of all General and Special events (including oversight of music, creative, production, room bookings, event shopping, food prep, planning center, rosters, recordings, podcasts, printing, pre-event set up and post-event pack down, and oversight of event details during the event).
- Support in the planning and implementation of General events, (including, Worship and Word, Workshops and leaders meetings) and Special events (including, YA Launch, Easter Fest, Worship Nights, Trivia Night, Year 12 Transition, Young Marrieds Gathering, EOY Celebration etc.)
- Oversee all administration involved with reimbursements, credit card consolidations, tithes management, the YA email inbox, EFTPOS machine, and recording of meeting minutes.
- Responsible for the processing and following up of new leader and volunteer paperwork.
- In consultation with the YA Pastor, plan for camp activities, programming and schedule. Liaise with campsite director, and delegate responsibilities to staff members and following up deadlines as needed.
The successful applicant will have:
- Advanced use of MS Word, Excel, PowerPoint, and Outlook
- Proficient spoken and written English
- Previous experience in event administration is preferred.
- Attention to detail and efficiency.
- Data entry and database maintenance.
- Communication – ability to liaise and/or negotiate with pastors, staff, ministry team leaders and members of the congregation.
- Understanding of OH&S procedures.
- Time management skills and ability to prioritise.
- Capacity to take initiative and problem solve as tasks require.
- Be proactive in looking for ways to improve processes and procedures.
