Combined Therapy Services is seeking a dedicatedPractice Administrator (NDIS focus) to join our team in Camden NSW on a full-time basis. This role is central to the smooth operation of our practice and plays a vital part in ensuring our clients receive exceptional support services. As a Practice Administrator, you will be the organisational backbone of our operations, managing administrative functions with a specific focus on NDIS (National Disability Insurance Scheme) processes and compliance. Key responsibilities

  • Managing NDIS participant records, documentation, and claims processing to ensure compliance with NDIS legislation and funding requirements
  • Maintaining client files and ensuring all documentation meets regulatory and privacy standards, including sensitive handling of personal information
  • Responding to client enquiries professionally and promptly, providing information regarding services and NDIS-related matters. Assisting onboarding services and liaising with new participants through their journey with CTS.
  • Manage staff recruitment, onboarding, scheduling, performance management and professional development
  • Ensure compliance with all relevant healthcare regulations, NDIS, privacy legislation, occupational health and safety requirements, and professional standards
  • Assist with the development and implementation of the Practice NDIS policies and procedures.
  • Assist with NDIS registration audits.
  • Maintain accurate and secure patient records in accordance with regulatory requirements
  • Monitor and manage practice inventory, equipment and facility maintenance
  • Liaise with healthcare providers, insurance companies and other external stakeholders.
  • Promote and use marketing opportunities to increase referrals and connections with stakeholders.
  • Prepare regular reports and provide operational updates to practice leadership

What we're looking for

  • Proven experience working in an administrative capacity, ideally within a healthcare, therapy, or community services setting
  • Strong knowledge and demonstrated experience with NDIS funding, participant management, and NDIS-specific documentation requirements
  • Proficiency with practice management software and Microsoft Office applications, with the ability to quickly learn new systems
  • Excellent organisational skills with the ability to manage multiple tasks, meet deadlines, and prioritise effectively
  • Strong written and verbal communication skills with the ability to interact professionally with clients, staff, and external stakeholders
  • Demonstrated commitment to confidentiality, privacy compliance, and professional standards in handling sensitive information
  • High level of accuracy and attention to detail, particularly in financial and administrative documentation
  • Customer service orientation with a genuine desire to support vulnerable populations including children and young people
  • Problem-solving mindset with the ability to work independently and collaboratively within a team environment
  • Relevant qualifications such as a Certificate III or above in Business Administration, Office Administration, or equivalent experience would be advantageous
  • Working with Children Check (NSW) and NDIS Workers Clearance Check
