We are now looking for an exceptional Client Services & Workflow Assistant to become a central point of connection between our clients, accountants and leadership team.
About the role
This is a key operational and client-facing role for someone who is equally comfortable building warm relationships and managing detailed workflows.
You will take ownership of the work coming into and moving out of our office, ensuring client requests are acknowledged, jobs are properly scoped and allocated, deadlines are monitored, information is followed up and completed work is delivered professionally.
You will work closely with our senior accountant to coordinate workflow, identify priorities and keep the team moving. You will also become a trusted contact for our clients—someone who makes them feel as though they are speaking with a knowledgeable friend who genuinely cares about helping them.
This role is designed for someone who likes responsibility, notices what others miss and takes satisfaction in creating order. You will have the confidence to follow up clients and team members, raise potential problems early and keep work progressing without needing constant direction.
Over time, the successful applicant will take substantial ownership of the day-to-day client service and workflow responsibilities currently managed by our Business and Practice Director.
Key responsibilities
Client relationships and communication
- Act as a central point of contact for clients and respond to enquiries promptly and professionally.
- Build strong, genuine relationships so clients feel recognised, understood and well supported.
- Proactively update clients on the progress of their work and manage expectations around timing, information and next steps.
- Coordinate client meetings, onboarding, proposals, engagement documents and follow-up actions.
- Identify client concerns, opportunities or additional support needs and escalate them to the appropriate adviser.
- Ensure completed work and client communications reflect the high standard of care expected from Lighthouse.
Workflow and job management
- Oversee work entering and leaving the practice and maintain visibility over current priorities, deadlines and capacity.
- Work closely with the senior accountant to allocate jobs and coordinate workflow across the team.
- Review incoming requests to ensure they are clearly defined, properly assigned and supported by the required information.
- Monitor job progress, follow up outstanding actions and prevent work from becoming delayed or overlooked.
- Coordinate the collection of documents and information from clients.
- Review workflow systems regularly and ensure job statuses, notes, due dates and responsibilities are accurate.
- Identify bottlenecks, competing priorities and potential deadline risks before they become problems.
- Help balance urgent client requests with planned compliance and advisory work.
Quality, systems and continuous improvement
- Maintain accurate client records, correspondence and internal documentation.
- Create and improve checklists, templates and processes that make client service more consistent.
- Ensure agreed procedures are followed and address gaps constructively.
- Look for opportunities to simplify, automate or improve administrative and workflow processes.
- Assist with client onboarding and offboarding processes.
- Support the leadership team with reporting on workflow, client matters, capacity and operational issues.
- Contribute to a positive, accountable and solutions-focused team environment.
About you
You are an outgoing and confident communicator who enjoys people and quickly builds rapport. You can make clients feel comfortable and valued, while still being willing to have clear conversations about deadlines, missing information and expectations.
You are also highly organised and detail-oriented. You naturally notice inconsistencies, unfinished tasks and potential problems. You do not wait for someone else to take responsibility—you follow matters through to completion.
You will ideally have:
- Experience in an accounting, financial planning, legal or other professional services environment.
- Experience coordinating client work, workflows, projects or a busy professional office.
- Strong relationship-building and client service skills.
- Excellent written and verbal communication.
- The confidence to follow up both clients and colleagues respectfully but persistently.
- Strong attention to detail and pride in producing accurate work.
- The ability to manage multiple deadlines and changing priorities.
- Sound judgement and the ability to recognise when an issue should be escalated.
- Experience using practice management, workflow, CRM or document management systems.
- A proactive, accountable and improvement-focused approach.
- The maturity to handle confidential client and financial information appropriately.
Experience within an accounting practice would be highly regarded, but we are equally interested in applicants from financial planning, legal or similar professional services firms who understand the importance of deadlines, documentation and exceptional client care.

- Fewer operational matters require the direct involvement of the Business and Practice Director.
- Client service remains warm and personal as the practice continues to grow.
- The office feels organised, proactive and under control.
