Our Executive Assistants provide a full range of executive support to the Head of Department and assist in the development and support of the department strategy and transformation. This role develops and manages relationships with a number of key internal and external stakeholders and must maintain high levels of confidentiality and professionalism at all times.
About the Role:
We are seeking a perm F/T Executive Assistant to support our Secretariat Lead based in our Blackburn, Melbourne office.
This role is responsible for providing a full range of Executive Support to the Secretary to the Property Trusts and will provide strategic support and assistance to the Trustees ensuring accurate documentation and timely coordination of any work requiring attention by the Trustees. You will be required to develop and manage relationships with a number of key internal and external stakeholders and must maintain high levels of confidentiality and professionalism at all times.
Key Responsibilities:
- Prepare and manage Trustee documentation, including agendas, minutes and resolutions
- Provide high-level administrative and diary support to the Secretary to the Property Trusts
- Coordinate meetings, travel, communications and daily workflow
- Maintain effective document control, record management and confidential filing systems
- Support Trustees with integrity checks and access to required systems/portals
- Manage financial administration, including expenses and invoices
- Deliver general office support to ensure efficient day-to-day operations
About You:
- Experience in analysis of new systems/process and making recommendations for improvement
- Experience and exposure to senior executives with demonstrated experience in leadership, influencing and relationship management with key stakeholders at senior levels of organisation
Requirements of the Role:
- A National Criminal History Check is required
- Working with children’s check
- This role is based on-site and requires office attendance five days a week
