Charlton Christian College is a K–12 co-educational Christian school located in Fassifern, Lake Macquarie. Our mission is to provide a Christ-centred education of excellence that empowers students to develop their God-given potential.

We are seeking a highly organised, proactive and service-oriented Executive Assistant to the Head of Studies to provide critical administrative and operational support across the College’s academic functions. This role plays a key part in supporting curriculum delivery, compliance requirements and VET programs, while contributing to the smooth daily operation of the College.

A distinctive feature of this role is the early morning operational coordination. Each day commences working from home from 6.30am, monitoring staff absence notifications, arranging casual teaching cover and preparing the College’s daily operational communication (HQ). The role then transitions onsite during work time to continue duties at the College.

About the Role

  • Provide high-level administrative support to the Head of Studies
  • Coordinate key academic processes including subject selection, assessments, reporting and appeals
  • Support compliance with NESA requirements, including data entry, monitoring timelines and submissions
  • Administer VET and EVET programs including enrolments, compliance tracking and liaison with external providers
  • Manage staff absences and coordinate daily teaching cover arrangements
  • Prepare and distribute daily operational communications (HQ News)
  • Support academic events including assemblies and subject selection evenings
  • Maintain accurate data and systems across TASS, Edval and other platforms
  • Liaise professionally with staff, students, families and external organisations
  • Independently manage time-critical early morning operational tasks prior to the school day

The Successful Applicant Will Have

  • A personal Christian faith, regular church attendance and willingness to support the College’s Statement of Faith
  • Understanding of, and commitment to, child safety in an educational setting
  • Current NSW Working with Children Check
  • Minimum Certificate III in administration or equivalent qualifications and/or experience
  • Demonstrated experience in an administrative role within a medium to large organisation, ideally in education
  • Strong IT skills including Microsoft Office (Word, Excel and PowerPoint) and database systems (experience with TASS or similar highly regarded). Experience in graphic design software such as Adobe InDesign would also be beneficial.

Working Arrangement

This is a full-time role (38 hours per week) working term-time only (approximately 42 weeks per year).

The hours are structured as follows:

  • Monday to Thursday: 6.30am – 3.15pm
  • Friday: 6.30am – 11.30am

Each day is structured in two parts:

  • Early morning (from 6.30am): Work from home to monitor staff absence notifications, arrange teaching cover and prepare the daily HQ communication
  • Onsite (remainder of day): Travel to the College during work time and continue duties on campus

Commencement

As soon as possible, subject to negotiation

Salary & Conditions

The full-time equivalent salary for this role is $85,350 per annum (Level 4 MEA).

As this position is term-time only (approximately 42 weeks per year), the salary can be pro-rated accordingly and paid as an averaged fortnightly amount across the year.

Conditions are in accordance with the Christian Schools General Staff Multi-Enterprise Agreement.
