Allied Health Reception and Administration Support

Looking for a motivated, reliable customer-oriented professional to join our small Administration team...

Perfect Balance Nutrition is a team of passionate Clinical Dietitians serving Melbourne’s Eastern Suburbs. This hybrid position is two days per week (15.2 hours) but you must have the flexibility to cover full time hours if/when required. Initially a 12-month contract, there is the possibility of it becoming ongoing. The ideal candidate will be confident, friendly and have a caring personality together with great customer service, administration, and communication skills. Experience in reception / administration in a Medical or Allied Health organisation highly desirable.

Responsibilities include:

  • Reception services (including, but not limited to) answering telephones, emails, and web enquiries, facilitating patient bookings, following up patient information and general office administration as required.
  • Patient Record Management including updating Patient database, uploading forms and medical documentation as required and ensuring Patient information is always up to date.
  • Liaising with Practitioners, Patients and Medical Centres as required.
  • Event support including setting up Information sessions, Webinars, Training, etc.

Essential Criteria

  • Great customer service and communication skills (written and verbal).
  • Patient focused.
  • Excellent organisation and time management skills, with the ability to multi-task.
  • Reliable, with a can-do attitude.
  • Demonstrated understanding of Privacy and Confidentiality within the Medical/Allied Health arena.
  • Demonstrated understanding of billing and compliance required by Medicare, NDIS, DVA and Private Health Insurance.
  • Ability to work autonomously and within a small Administration team.
  • Experience using Prac-Suite, or other Medical Practice Management system.
  • Proficient in the Microsoft Office Suite and other office software.
  • Experience using ZOOM, Eventbrite or other similar programs.

Previous experience in a similar role is strongly desirable.
