We are seeking a professional, compassionate, and highly organised Receptionist to join our team. This role is integral to the delivery of our services, providing a welcoming first point of contact for clients while ensuring the smooth administration of appointments, records, and day-to-day office operations.
About the Role
As Receptionist, you will be responsible for managing front-of-house operations and providing administrative support across a range of Crossway LifeCare services. The successful applicant will demonstrate excellent customer service skills, strong attention to detail, and the ability to maintain accuracy when working with confidential client information and appointment scheduling systems.
Key Responsibilities
- Provide a professional and welcoming first point of contact for clients, visitors, volunteers and community members.
- Manage incoming phone calls, emails, and general enquiries.
- Schedule, confirm, adjust, and reschedule appointments in consultation with counsellors, practitioners, and Crossway LifeCare Team Leaders.
- Create and maintain client records, ensuring accurate appointment scheduling and data management within Crossway LifeCare's CRM system.
- Enter and maintain accurate client and service data across various forms, databases, and systems, including Pantry Forms and Crossway LifeCare event registrations.
- Communicate with clients regarding appointments, payments, and service enquiries.
- Process and reconcile daily financial transactions and report any discrepancies.
- Maintain confidential client records in accordance with privacy legislation and organisational policies.
- Assist with client intake, referrals, correspondence, filing, scanning, and document management.
- Provide administrative support across Crossway LifeCare programs and services.
- Ensure reception, waiting areas, and meeting spaces are maintained to a professional standard.
- Work collaboratively with staff, volunteers, and service teams to support the effective delivery of services.
About You
To be successful in this role, you will have:
- Previous experience in a reception, administration, or customer service position.
- Demonstrated proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and Teams.
- Strong computer literacy and confidence using CRM and database systems.
- Exceptional attention to detail with a high level of accuracy in data entry, appointment scheduling, record management, and financial reconciliation.
- Excellent organisational and time-management skills with the ability to manage competing priorities.
- Strong verbal and written communication skills.
- A warm, professional, and compassionate approach when interacting with clients from diverse backgrounds.
- The ability to maintain confidentiality and exercise sound judgement.
